Last updated: 26 August 2026. Community Strength Network (“CSN”, “we”, “us” or “our”) respects your privacy and is committed to protecting your personal information. This privacy notice explains what information we collect, why we collect it, how we use it and the choices you have about your information.

Information we collect

When you contact us or register your interest through our website, we may collect information such as:

  • your name;

  • email address;

  • telephone number;

  • town or postcode area;

  • your preferred method of contact;

  • information you choose to provide about the support you are looking for;

  • information you provide about volunteering as a Gym Buddy; and

  • if you contact us on behalf of a gym, community group or other organisation, information about that organisation and your enquiry.

We ask users not to provide medical or other sensitive personal information through our initial enquiry forms.

Why we use your information

We use the information you provide to:

  • respond to your enquiry;

  • contact you about your interest in Gym Buddy;

  • explore whether Gym Buddy may be suitable for you;

  • discuss volunteering as a Gym Buddy;

  • respond to enquiries from gyms, community organisations and potential partners;

  • help us organise and operate the Gym Buddy pilot; and

  • maintain appropriate records of enquiries and communications.

We will not sell your personal information.

We will not use information submitted through these forms for unrelated marketing without an appropriate basis for doing so.

Our lawful basis for using your information

Under UK data protection law, we need a lawful basis for processing personal information.

For enquiries and expressions of interest submitted through our website, we generally process your information because it is necessary for our legitimate interests in responding to enquiries, administering the Gym Buddy initiative and developing Community Strength Network.

Where circumstances require a different lawful basis, we will identify and use the appropriate basis.

Sensitive information

Our initial website forms are not intended to collect medical information or other special category personal data.

Please do not include medical or other sensitive information in the free-text sections of our forms.

If it later becomes necessary for CSN to collect information about your health or other special category information in order to operate Gym Buddy safely and appropriately, we will explain what information is required, why we need it, how it will be used and the appropriate legal basis before collecting it.

Health information is classed as special category data under UK GDPR and receives additional protection. 

How we store and share your information

Information submitted through our website forms is stored using the systems used to operate the CSN website.

We may use trusted service providers, including our website and technology providers, to process or store information on our behalf.

We will only share personal information where it is reasonably necessary to operate CSN and Gym Buddy, where you have asked or authorised us to do so, or where we are required to do so by law.

We will take reasonable steps to protect personal information from unauthorised access, loss or misuse.

Gym Buddies and Gyms

Submitting an expression of interest does not mean that your personal contact details will automatically be passed to a Gym Buddy, gym or other organisation.

Where sharing information with another person or organisation becomes necessary to arrange support, we will explain this as part of that process and only share information that is reasonably necessary.

How long we keep your information

We will keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including administering enquiries and the Gym Buddy pilot and meeting any legal or safeguarding requirements.

We will periodically review the information we hold and delete information that is no longer required.

Your rights

Depending on the circumstances, UK data protection law gives you rights over your personal information. These may include the right to:

  • ask for a copy of the personal information we hold about you;

  • ask us to correct inaccurate information;

  • ask us to delete your information;

  • ask us to restrict how we use your information;

  • object to certain uses of your information; and

  • ask us to transfer information in certain circumstances.

Some of these rights depend on the circumstances and the lawful basis on which information is being processed.
